Why You May Receive Approval Emails When Updating Domain Contact Details

When you update the owner details on a domain name, the change is not always instant. For many domain extensions, especially non-UK domains such as .com, .net, .org and many others, changes to the registered owner are controlled by registrar and registry rules.

This process is often called a domain trade or change of registrant.

It is designed to protect domain owners from unauthorised changes.

What Is A Domain Trade?

A domain trade happens when important ownership details on a domain are changed.

This usually includes changes to:

  • The registrant name
  • The organisation or company name
  • The registrant email address

These details identify who legally controls the domain name. Because of that, changing them may require approval before the update can complete.

When Does This Process Start?

The trade process normally starts when you, or someone managing your domain, updates the registrant contact details.

For example, it may be triggered if:

  • You change the domain owner’s email address
  • You move the domain from an individual to a company
  • You update the company or organisation name
  • You correct or replace the registrant name

Small changes, such as updating a postal address or telephone number, may not always trigger this process. The approval process is mainly for ownership-related details.

What Emails Will I Receive?

If a domain trade is required, you may receive more than one email.

These emails are important and must not be ignored.

You may receive:

  • An approval email sent to the old/current registrant email address
  • An approval email sent to the new registrant email address
  • A separate email asking you to verify the new email address

The exact number of emails can vary depending on the domain extension and registry rules.

Why Are There Emails To Both The Old And New Address?

This is a security measure.

The old/current registrant may need to confirm that they agree to the change. The new registrant may also need to confirm that they accept responsibility for the domain.

This helps prevent someone from changing ownership details without permission.

Why Do I Need To Verify The New Email Address?

Some registries and registrars require the new email address to be verified before the contact change is fully accepted.

This confirms that the new email address is real, active, and controlled by the person or organisation taking responsibility for the domain.

If the verification email is not approved, the update may remain incomplete.

How Quickly Does The Change Happen?

The change is not always immediate.

After the approval emails have been accepted, the update may still need to be processed by the registrar or registry. During this time, your old details may still appear in the domain management area.

This is normal.

Once the process has completed, the new contact details should show correctly.

What Should I Look Out For?

After requesting a change to domain ownership details, please check your inbox carefully.

Look for emails from the domain registrar, registry, or domain management provider.

You should also check:

  • Spam or junk folders
  • Quarantine folders
  • Mail filtering systems
  • The old email address inbox, if you still have access
  • The new email address inbox

If your company uses shared mailboxes or email security filtering, the approval emails may be delayed or held for review.

What Happens If I Do Not Approve The Emails?

If the required emails are not approved, the change may not complete.

This can mean:

  • The old registrant details remain on the domain
  • The new email address is not accepted
  • The domain contact update fails or times out
  • Further changes may need to be submitted again

For that reason, it is important to act on the approval emails as soon as possible.

Why This Matters

Your domain name is a valuable business asset. The registrant contact details help prove who controls it.

Keeping these details accurate is important for:

  • Domain ownership records
  • Renewal notices
  • Transfer approvals
  • Security checks
  • Compliance with registrar and registry rules

If your registrant email address is out of date, you may miss important messages about your domain.

In Summary

If you update the owner name, organisation, or email address on a domain, you may need to approve a domain trade.

Please watch for approval and verification emails at both the old and new email addresses. The change may not complete until all required approvals are confirmed.

Start the Transfer-In of a Domain

transfer-iconStarting the Transfer-In to UKC

There are many reasons to transfer your domain names to UKC. This is where you begin the process for all domain name types. All domain transfers start here.

Let’s do it

Enter your full domain name carefully into the box below. eg: yourdomain.com

You will be taken straight to the Checkout to complete your transfer. If you need more information, please review the following helpful articles:

How to Transfer non .UK domains to UKC

transfer-iconTransferring Non .UK domains to UKC

The process for non .UK domain names such as .com, .net and .guru is very easy as long as you carefully follow the transfer-in process.

Follow the steps below for a trouble-free transfer

In our example, we will use yourdomain.com but of course, replace this with your actual domain name.

  1. At your current registrar: Ask your registrar to “unlock” your domain name so that you may transfer it away. Sometimes you can do this through your registrar control panel, or you may need to ask them to do this for you.
  2. At your current registrar: Check that your domain admin email address is current and that you can receive emails to this address. If it is not, update the email address to your current email address. The public WHOIS will show this as the ADMIN-C email address.
  3. Go to “Start the Transfer” and enter yourdomain.com and then hit the “Transfer” button. Your domain transfer will be added to the cart and you will be taken to the checkout.
  4. Complete the checkout process. This adds your domain to your Client Area > Domain > My Domains panel. The registry charge a 1 year renewal fee however we return this to you by extending your domain name by 1 year. This is going to be cheaper than renewing for 1 year with your current registrar.

Monitoring the progress of your domain transfer

Non-UK domain name transfers follow a particular process and can take up to 7 business days to complete.

You can monitor the progress of your transfer in Client Area > Domains > My Domains > yourdomain.com > Manage Domain > Information

  1. PendingOwnerApproval: At this stage, an email is sent to the domain admin (ADMIN-C) email address. When you receive this email, you must approve the transfer (usually you just click a link). Then we move to stage 2.
  2. PendingRegistryApproval: Here, the registry are aware of your transfer authorisation and require a few business days to approve the transfer. After this stage the transfer of your domain name is complete.
  3. TransferTimedOut: If you see this then your transfer has stopped. This is usually because stage 1 was not completed and you did not respond to the authorisation email. Contact us to restart the process. There is no additional charge.

How to Transfer .UK Domains to UKC

Transfer .UK domains to UKC

Place the UKC transfer order and change the Nominet IPS tag to MICROLITE

A .uk or .co.uk registrar transfer uses a tag change rather than an EPP code. Keep the existing nameservers unchanged so a working website and email normally continue while registrar management moves to UKC.

STARTConfirm the serviceUse the account-specific route
PROTECTRecord current settingsAvoid accidental disruption
CHECKTest the resultKeep the exact error if it fails

How do you transfer the .UK domain?

Follow the sequence and stop before any step that does not match the service shown in your UKC account.

  1. 1
    Place the UKC transfer order

Enter the complete .UK domain in the transfer cart and complete the account process so UKC can associate the incoming name correctly.

  2. 2
    Ask for the tag change

At the current registrar, change the Nominet IPS tag to MICROLITE. Enter it exactly and keep confirmation.

  3. 3
    Check My Domains

Open the UKC Client Area and confirm the domain appears with the correct holder, expiry and status after the registry change.

  4. 4
    Test existing services

Confirm the nameservers are unchanged and test website, incoming email and outgoing authenticated SMTP.

What does the transfer move?

The registrar relationship and renewal management move. Website files, mailboxes and DNS zones do not automatically move.

Moves to UKC

Registrar controls, renewal management and the domain entry in the UKC account.

Normally stays unchanged

Nameservers and the live DNS zone, provided nobody edits them during the transfer.

Does not copy

Website files, databases, mailboxes or external platform accounts.

Can be changed later

DNS, hosting and email can be migrated separately after recording and testing the existing service.

Common questions

Do I need an EPP code for .co.uk?

No. Nominet .UK transfers use the registrar IPS tag route.

How quickly does the tag change complete?

It can be fast once the registry accepts the tag change, but account display and provider processes can take additional time.

Will it extend the expiry date?

A .UK tag change does not necessarily add a registration year. Review the current expiry and renewal after completion.

What if the domain does not appear?

Confirm the tag is exactly MICROLITE and provide UKC Support with the transfer order number. Never send a password.

Ready to consolidate the domain?

Place the order, change the tag and preserve the nameservers

Verify the domain in My Domains before making any separate hosting or DNS change.

How to Transfer a Domain Name to UKC

Transfer a domain to UKC

Start the transfer with UKC, then complete the required step at your current registrar

UK domains such as .uk and .co.uk transfer using the UKC registrar tag, MICROLITE. Many global domains such as .com and .net need an AuthInfo or EPP code. A registrar transfer does not automatically move your website or email, so leave the nameservers unchanged unless you are also planning a service move.

.UK DOMAINSUse tag MICROLITENo AuthInfo code is needed
GLOBAL DOMAINSUnlock and use EPPRegistry transfer rules can apply
WEBSITE AND EMAILKeep DNS unchangedMove services separately if required

Which domain transfer process should you use?

The extension at the end of the domain determines the transfer method. Use the table below before changing anything at the current registrar.

Domain typeWhat you needWhat happens to the expiry date
.uk family, including .co.uk, .org.uk and .me.ukPlace the UKC transfer order and ask the current registrar to change the IPS tag to MICROLITEThe existing expiry date is retained. The transfer itself does not add another registration year
Many generic domains, including .com, .net and .orgUnlock the domain, obtain the AuthInfo or EPP code and complete the UKC transfer orderA paid transfer commonly adds one registration year, subject to the extension and registry rules. Checkout confirms the current term and price
Other country-code domainsFollow the extension-specific instructions shown during ordering or ask UKC supportEligibility, paperwork, price and renewal treatment vary by registry

What should you check before starting?

You can access both accounts

Make sure you can sign in to the current registrar and the UKC account that should receive the domain.

The domain is eligible

Check that it is active and not in redemption, a dispute or an applicable transfer lock. Start well before expiry.

Contact details are current

For a global domain, transfer approval or validation messages may be sent to the relevant contact address.

DNS details are recorded

Save the current nameservers and important website, mail and verification records before making any separate DNS change.

How do you transfer a .uk or .co.uk domain to UKC?

  1. 1
Place the transfer order with UKC

Enter the full domain name on the UKC transfer page, leave the authorisation-code field blank and complete checkout.

  2. 2
    Change the registrar tag

At the current registrar, change the domain’s IPS tag to MICROLITE. The tag must be entered exactly.

  3. 3
    Check My Domains

Open the UKC Client Area and look for the domain under Domains and My Domains. If it does not appear after the tag change, open a support ticket with the order number.

  4. 4
    Test the existing services

Confirm the website and email still work. The registrar change should not require a nameserver change.

The UKC registrar tag MICROLITE is listed by Nominet for UKC Labs Ltd. If your current registrar cannot change the tag, ask its support team or use the registrar-change process available through Nominet.

How do you transfer a .com, .net or other global domain?

  1. 1
    Unlock the domain

Turn off the registrar or transfer lock at the current provider. A recently registered, transferred or contact-updated domain can still be subject to a time-limited lock.

  2. 2
    Request the transfer code

Obtain the AuthInfo, EPP or authorisation code from the current registrar. Treat this code like a password.

  3. 3
    Place the UKC transfer order

Enter the domain on the UKC transfer page, complete checkout and follow the approval instructions sent for the order.

  4. 4
    Approve and monitor the transfer

Respond promptly to genuine approval messages. Check My Domains and keep the domain unlocked until completion.

Will the transfer move your website or email?

No. The registrar manages the domain registration. Nameservers and DNS records connect the domain to its website and email providers. If those DNS settings remain unchanged, the connected services should normally continue in the same place during the registrar transfer.

Transfer the domain only

Leave nameservers unchanged. After completion, UKC manages registration and renewal while the existing website and email remain with their current providers.

Move services as well

Plan the hosting or mailbox migration separately. Copy the data, prepare DNS, test the new service and only then switch records.

Why can a domain transfer fail or pause?

Wrong IPS tag

For a UK domain, confirm the tag is exactly MICROLITE and that the UKC order is in the intended account.

Domain still locked

For a global domain, remove the transfer lock and check whether a registry-mandated waiting period applies.

Incorrect or expired code

Request a current AuthInfo or EPP code and enter it carefully through the approved transfer flow.

Expired or recovery status

The current registrar may need to renew or restore the domain before it becomes transferable.

Approval was missed

Check the order contact inbox and junk folder for a transfer approval message, then ask support whether the request must be restarted.

Registry-specific requirements

Some country-code extensions require eligibility evidence, forms or a different transfer process.

Domain transfer questions

How long does a domain transfer take?

A .uk tag transfer and a generic-domain transfer are different processes. Completion depends on the registry, the current registrar, any lock and how quickly approval steps are completed. Do not promise a fixed completion time for an important move.

Does a .uk transfer add another year?

No. A .uk registrar-tag transfer keeps the existing expiry date. Renew the domain later through UKC at the price current at that time.

Does a .com transfer add another year?

Many generic-domain transfers include a one-year extension, but registry rules and recent renewals can affect this. The UKC checkout shows the current transfer term and price before payment.

Can I transfer an expired domain?

Sometimes, but the answer depends on its extension and lifecycle status. It may need renewal or recovery with the current registrar first. See the expired domain transfer guide.

Can I transfer the domain without moving the website?

Yes. Keep the current nameservers and DNS records in place. A separate hosting move is optional.

What will I get after the domain reaches UKC?

You can manage the domain in the UKC Client Area. A parked domain also includes Domain Website Builder, DNS Manager, web forwarding and email forwarding. Paid hosting and mailbox services remain separate unless the order says otherwise.

Ready to bring the domain to UKC?

Start the transfer, then follow the instructions for your extension

Review the current price and term in checkout. If the domain is expired, locked or business-critical, ask UKC support before changing anything.
