Reduce unwanted email
Filter spam without blocking the genuine messages your business needs
No filter can identify every unwanted message without occasionally making a mistake. Use server filtering, disable unused catch-all addresses, protect public contact details and review the spam folder before deleting mail permanently.
What reduces spam most effectively?
Disable an unused catch-all
A catch-all accepts messages sent to any invented address at the domain. If you do not need it, removing it can stop dictionary attacks reaching one mailbox.
Keep addresses purposeful
Use separate addresses for public enquiries, accounts and important business conversations. Retire aliases that are no longer used.
Mark spam in the mail app
Use the app’s spam or junk action instead of repeatedly deleting similar messages. Check the junk folder for genuine mail while the filtering settles.
Protect website forms
Use modern form validation and rate limiting. Publishing an address as plain text can make it easier for automated harvesters to collect.
How should I handle a suspicious message?
- 1Pause before acting
Urgency, threats and unexpected payment requests are common warning signs. Do not trust the displayed sender name alone.
- 2Verify another way
Use a known phone number or a fresh browser bookmark, not the contact details or login link inside the message.
- 3Do not open unexpected files
An invoice or document can carry malware. Confirm the sender and purpose before downloading an attachment.
- 4Report and remove it
Mark the message as spam or phishing, then delete it. If a password was entered, change it immediately from a trusted device.
How do I stop my own business email being treated as spam?
Use the correct authenticated SMTP server rather than sending directly from an unconfigured device or website.
Keep SPF, DKIM and DMARC records accurate for every authorised sender.
Send only to people who expect the message and provide a clear unsubscribe route for marketing.
Secure contact forms and accounts so attackers cannot use them to send bulk mail.
Spam questions
Why can UKC not block all spam?
Filters make probability-based decisions. Blocking more aggressively can also reject legitimate invoices, enquiries and password messages.
Should I reply to unsubscribe?
Use unsubscribe only for a sender you recognise and previously asked to hear from. Replying to obvious spam can confirm that an address is active.
Can Support inspect my password?
No. Do not send mailbox passwords. Provide the message headers and a description if Support asks for diagnostic information.
Persistent mail problem?
Tell us the mailbox, time and type of message
Do not include the mailbox password in your ticket.
