How to: Setup IMAP using Microsoft Office Outlook 2016

This guide is for setting up IMAP in Outlook 2016 to access your mail, IMAP is recommended if you are checking mail on multiple devices and wish to store your mail on the server.

  1. Open Microsoft Office Outlook 2016
  2. Go to File > Info > Add Account
  3. Select the checkbox Manual setup or additional server types. Click Next.

  1. Select the option POP or IMAP and hit Next.

  1. Specify the following:
  • Your Name.
  • The email address that you are setting up the IMAP account for.
  • Account Type: IMAP
  • Incoming mail server: Enter mail.yourdomainname.com, for example if your domain name is johndoe.com please enter mail.johndoe.com.
  • Outgoing mail server: Enter mail.yourdomainname.com, for example if your domain name is johndoe.com please enter mail.johndoe.com.
  • User Name: Specify your full email address. Example: info@johndoe.com.
  • Password: This will be the password that you set when creating the mail account in Plesk, it is the password that you use to login to RoundCube webmail.
  • Require logon using Secure Password Authentication (SPA). Leave this option cleared.

  1. Click More Settings, open the Outgoing Server tab and check My outgoing server (SMTP) requires authentication.

  1. Open the Advanced tab and enter 587 as Outgoing Server (SMTP) port and INBOX as the Root folder path. Click OK and Click Next to complete the setup.

How to: Setup POP using Microsoft Office Outlook 2016

To setup a POP account:

  1. Open Microsoft Office Outlook 2016

Emails not forwarding to Hotmail, Gmail or Yahoo

If you are using the free SMTP service provided with your UKC hosting account then sometimes there may be problems with deliverability to the free email providers.

As this is a shared service, performance may be limited by the actions of other users. For example, rogue users could cause a build-up of backlogged mail, and can even cause the server to become temporarily blacklisted.

There is also the possibility that some users may be using the system to spend spam and other malicious email. In this case, other email systems may see this spam and blacklist the server.

This could cause your emails to be delayed or, in the worst case, bounced back.

Ensure your Email / Domain is in your Recipient Safe Senders list

All of the large providers offer a “safe senders” list. You should ensure you ask your clients that use free email addresses as the contact details to ensure your domain is added to their “safe senders” list to ensure deliverability.

Use your ISP SMTP Server for maximum deliverability

For best SMTP performance we recommend that you use your ISP SMTP server.

UKC email not arriving at your Hotmail address?

If you are using https://Outlook.live.com to manage your hotmail.co.uk or hotmail.com emails, do ensure that you have added uk-cheapest.co.uk as a safe sender as follows:

  • Login to your Hotmail account at http://www.Outlook.com
  • Settings > Options > Junk Email > Safe Senders
  • enter “uk-cheapest.co.uk”
  • Press the “+” button.
  • Then click Save

Hotmail will now deliver emails from UKC to your address without delay.

Emails sent to me are being returned as SPAM. Can I stop this?

Occasionally, someone who has sent you an email may receive a message saying that a mail they sent you hasn’t been delivered. The email they sent has been blocked, and the full message is:

senderdomain.com 12.34.56.78 is listed at bl.spamcop.net. Contact tech support enclosing a copy of this error message on email address.

The message will contain a full email address in place of email address. There may also be another address in place of bl.spamcop.net.

Only the sender will receive the message. You will not receive notification that an email to you has been blocked and you will be able to send and receive other messages as normal.

The message is part of our effort to block spam sent to email addresses hosted at UKC.

We check the IP address of the server each email has been sent from against several lists of addresses, one of which is maintained by bl.spamcop.net. If the IP address is on any of these lists then we block the email.

Although this stops lots of spam getting through, it does mean legitimate messages occasionally get blocked too. If this is happening to someone trying to send you email, it’s easy for them to stop it occurring in the future.

How to fix it

The person who sent you the email should forward the message they received to the address shown in it. We’ll put the relevant IP address onto our list of allowed addresses, so future mails from that person come through to your inbox.

If the message mentions spamcop.net, they can also enter the IP address in the message (e.g. 12.34.56.78) into the Lookup IP box at Spamcop.net. This will remove the IP address from their list and should ensure that other email providers using the list stop blocking messages from that person.
